Adding Transcripts

In addition to images and multimedia files, Sanction II is also capable of displaying ASCII text files by page number. Transcripts with complete timestamp information can also be used with corresponding media files for quick and easy clip creation.

 

To add a transcript text file:

 

1. Select the deposition text file from the Windows Explorer

2. Drag the file onto the Transcripts folder

 

When you add a transcript, Sanction II attempts not only to determine all of the page and line info, but also the name of the actual deponent.

If your transcript does not import properly, or you receive an error message, you will need to edit the transcript with the Transcript Manager utility.

 

If the transcript name is incorrect after the import, right click on the Transcript and select Edit Transcript Info to make any needed corrections

 

If only one page is indicated in the list view after a transcript has been added, there was a problem identifying the page and line numbers correctly. Most transcript issues can be solved quickly and easily using the Transcript Manager utility. The Transcript Manager can be launched by clicking on the icon on the main screen toolbar, or from the Utilities menu.

 

NOTE - Transcript text files must include page and line numbers. In some cases, if the transcript does not import correctly, you will need to edit the document for compliance.

 

To view a page of the deposition, click on the page number listed in the List View window. The corresponding page will be displayed in a text window in the viewing area.

 

Adding Synchronized Transcripts

 

If you are having transcripts timestamped by a service bureau using the Transcript Manager utility, to add the transcripts to the case just drag and drop them the same way as above. The Group name will be created automatically.

 

If you have multiple transcript databases, drag and drop them onto the main case icon and all transcripts will be added at once.

 

You may also add a database transcript by choosing Transcript Database from the Import menu.

 

If the transcripts were synchronized using the Sanction II Transcript Manager utility, Sanction II will automatically add and associate the media group for the transcripts. If the transcripts were synchronized using the Sanction 1.7 T-Stamp utility, then you associate the transcripts with their corresponding media before synchronized features will be enabled in the Clip Creator

 

IMPORTANT – if you receive a warning message - "The following files were not located for the Media Group - …" after importing transcripts, you must verify the locations of these missing files. The source transcript databases contain the file path from the original user’s machine. If this file path is different than the location on the destination machine, you must manually update the Media file locations!

You can avoid this by adding your media files prior to importing the transcripts or by always maintaining the same relative file paths to store your media.

 

Note the following:

Ex 1 - A user creates a synchronized transcript from media files stored in "F:\MYFILES\VIDEOS". The media files are then burned to CDs into a directory called \Videos on the root of the CD. When these transcripts are added to a Sanction II case database on another use’s machine, the file path "F:\MYFILES\VIDEOS" is what is exported into the transcript database and may not exist on the destination machine. The destination case database will have to be updated to the actual location of the media files.

Ex 2 - A user creates a synchronized transcript from media files stored in "H:\VIDEOS". The media files are then burned to CDs into a directory called \Videos on the root of the CD. When these transcripts are added to a Sanction II case database on another user’s machine, since the file paths are relative (Sanction II ignores drive letters), the file locations will be added correctly.
